Inquiry to teardown

How a rental works from first message to teardown, and who handles what. Booking area: Western Canada and US, quoted per event.

  1. Inquire

    Pick a piece and tell us your dates, location and budget. Nothing is held yet.

  2. Quote

    We reply within 48 hours with availability and a quote covering the rental, re-theming and any install help the piece needs.

  3. Contract & deposit

    A signed rental agreement and a deposit hold your dates. The agreement says who is responsible for what.

  4. Transport & install

    Each listing says how the piece travels and what installing it takes. Some flat-pack into a cargo van; some drive in on their own truck with our crew. We work it out with your site team.

  5. Your event

    The piece runs on the power listed in its specs. Operating rules, like spotters, climbing limits and weather calls, are in the agreement.

  6. Teardown

    We tear down on the agreed schedule and leave no trace. Damage beyond normal wear is handled under the agreement.

Who's responsible for what

We provide: the installation in working order, its specs (size, weight, power, site needs), engineering documents and liability coverage where the listing says so, and any re-theming agreed in the quote.

You provide: the site (access, ground conditions, power as specified), local permits where required, site security outside operating hours, and transport where the listing states renter-arranged transport.

Insurance: $5M liability coverage on pieces operated by Rent Interactive Art. Artist-supplied pieces carry their own certificate, confirmed per event. Certificates are available on request. Your event's own general liability policy remains yours.

For artists: how artists get paid

Proposed terms — the signed term sheet follows after legal review

Booking-only: We only earn when your piece is booked.

80% artist / 20% operator: You keep 80% of every booking fee. Rent Interactive Art keeps 20%.

You set a take-home floor: Tell us the minimum you want per event. We quote the renter at least your floor ÷ 0.8, so your 80% never drops below it.

Paid within 14 days: The renter pays Rent Interactive Art, and we pay you within 14 days of the event.
